Donor Relations Coordinator

JOB SUMMARY

The Development Coordinator reports to the Chief Development Officer and performs diversified gift processing/acknowledgement, event coordination/registration, data management/reporting, as well as various administrative duties in direct relation to the support of development officers within the Council. This role will work with team members to implement the Foundation's strategic plan to increase the capacity of a growing non-profit organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Database Maintenance & Gift Processing

  1. Functions as administrator of Donor Perfect software system and is responsible for the integrity of the data within this system. Work extensively within Donor Perfect, Salesforce, Looker, and other mediums of data storage throughout the council to coordinate data needed in relation to the fundraising office
  2. Designate, record and process all incoming gifts (including cash, checks, credit card processing, and third party sources) and create/process appropriate tax acknowledgements and letters of gratitude assuring they are sent in a timely manner and within accordance of the development department stewardship plan.
  3. Coordinate the fund development schedule including donor visits, follow-ups, and council-wide donor recognition events.
  4. Extract and manipulate highly confidential data to create reports for development officers.
  5. Develops and sends various donor correspondence in addition to acknowledgements as identified in the stewardship plan.
  6. Generate and distribute weekly gift records and other reports to the Development team.
  7. Create new records and maintain database records using various means to keep data up to date
  8. Manage processes in Donor Perfect in a consistent manner.
  9. Process event registration fees and generate reports.
  10. Provide campaign data support as necessary

Development Support

  1. Compiles and analyzes data regarding donor trends and potential during the gift processing process to accurately make recommendations and influence decisions regarding actions to be taken by development officers for further solicitation.
  2. Schedule personal meetings with prospects or donors. Schedule team meetings and organize logistics.
  3. Provide demographic and financial information as requested to development officers in the process of prospecting potential donors.

Marketing/Stewardship/Events

  1. Assist with the creation of stewardship pieces and literature such as impact statements and newsletters and other written pieces sent to donors.
  2. Communicate effectively with volunteers by coordinating materials, scheduling meetings, processing sponsorships, taking minutes, etc.
  3. Recommends activities to improve the planning and implementation of existing and new events and coordinates the event evaluation process including collaboratively creating budgets, event tracking and follow up.
  4. Assist with coordination of and support of event volunteers.

Education and Experience

  • Associates Degree or equivalent work experience
  • 3 years of previous high level or successive administrative support experience or 2 years of Donor Relations experience.
  • Technical training and experience utilizing computers, various software programs and databases is required.
  • Previous experience using Donor Perfect software preferred

License(s)/Certification(s):

  • Valid driver's license when driving any vehicle for work-related reasons.

Knowledge/Skills/Abilities:

  • Verbal and written communication skills including grammar, spelling and punctuation.
  • Demonstrates sound time-management skills by effectively and efficiently organizing, prioritizing, and completing multiple assignments in a timely manner.
  • Ability to supervise and give direction to a small team of volunteers and/or interns who assist with periodic work.
